Privacy Policy
To manage overseas manufacturing on your behalf, we receive your company details, the contact details of the people we work with, and product specifications and drawings. This policy sets out how we handle that information.
Proxy Co., Ltd. (“we”) complies with the laws on the protection of personal information and handles the information entrusted to us appropriately.
1. What we mean by personal information
In this policy, personal information means information about a living individual that can identify that individual, such as a name, company and position, telephone number or email address. Where the applicable law provides a definition, that definition applies.
Information about a company itself — its name, address or main telephone number — is not personal information, but we handle it in line with this policy as well.
2. Information we collect
We collect information in the following situations.
- Submissions through the contact form on this website
- Inquiries and meetings by telephone, email or in writing
- Contracts, purchase orders and invoices exchanged in the course of business
What the contact form collects
- Company name, contact name, email address and telephone number
- Type of inquiry, product category, estimated quantity, target lead time, target price range and target market
- The content of your inquiry
- Any drawings, specifications or reference images you attach
Attachments are received so that our staff can review them. They are never published on this website.
3. How we use it
We use the information we receive for the following purposes.
- Answering your inquiry and preparing a quotation
- Working out a feasible production method, production country and factory
- Production management, quality control, export and import and related work after a contract is agreed
- Contacting you and arranging meetings
- Improving our service and producing statistics (processed so that individuals cannot be identified)
If we need to use the information beyond these purposes, we will ask for your consent again.
4. Disclosure to subcontractors
Our business is managing manufacturing overseas. To review your inquiry and to run production, we need to pass product specifications, drawings and similar project information to subcontractors involved in manufacturing, sourcing and logistics outside Japan.
As a rule, we do not routinely share your name or direct contact details with overseas factories. We share only the minimum information necessary, and only where it is needed to carry out a project.
Where we need to provide your name, contact details or other personal data to overseas factories, suppliers, inspection companies or other overseas subcontractors, we will first inform you of the country or region of the recipient, the purpose of the provision, the information to be provided and other relevant details, and obtain your prior consent, except where consent is not required by law.
Within the scope necessary to carry out a project, we may provide information to:
- overseas manufacturing plants;
- manufacturers and suppliers;
- local partners on the ground;
- inspection companies;
- logistics companies and freight forwarders;
- customs-related service providers;
- other subcontractors necessary to carry out the project.
When we do so:
- We disclose only what is necessary for that work.
- If you have any requirements about which subcontractor receives what, please tell us at the inquiry stage.
- If a specific confidentiality arrangement is needed, please raise it when we first talk. We can also work under a non-disclosure agreement (NDA).
Where personal information is provided to a party outside Japan, the data protection regime in that country may differ from the regime in Japan. We take the steps required by the applicable law before providing it.
5. Disclosure to third parties
We do not provide personal information to third parties without prior consent, except:
- where required by law;
- where it is necessary to protect the life, body or property of a person and consent is difficult to obtain;
- where cooperation with a national or local government body, or a party commissioned by one, is required by law and obtaining consent would impede that work.
Providing information to a subcontractor in Japan within the scope necessary to achieve the stated purposes is not disclosure to a third party. As set out in section 4, information is provided to overseas subcontractors only with your prior consent, except where consent is not required by law.
6. Requests for disclosure, correction or suspension of use
If you ask us to disclose the personal information we hold about you, or to correct, add to, delete, suspend the use of, erase or stop providing it to third parties, we will respond promptly in accordance with the applicable law, once we have confirmed your identity.

We may be unable to respond where your identity cannot be confirmed, or where the law prevents us from doing so. In that case we will explain why.
7. Cookies and analytics
This website uses Google Analytics to understand how the site is used and to improve it. Google Analytics collects information using cookies.
What is collected — pages viewed, the time of viewing, the type of browser, the referring site — does not identify individuals. The information collected is handled in accordance with the terms set by Google.
You can refuse cookies through your browser settings, and you can disable collection by Google Analytics using the opt-out add-on Google provides.
We do not link information obtained through analytics with the personal information you provide through the contact form.
8. Security
We take the measures necessary and appropriate to prevent the leakage, loss or damage of the information we hold. Where we subcontract work, we supervise the subcontractor as necessary and appropriate.
9. Changes to this policy
We may revise this policy to reflect changes in the law or in our business. A revised policy takes effect when it is published on this page.
